How Far in Advance Should You Plan a Destination Wedding? (Timeline & Checklist)

Once the proposal excitement settles and you decide on a breathtaking beach or tropical resort for your big day, one big question quickly moves to the top of your mind: "How far in advance do I actually need to start planning?"


If you were hosting a traditional local wedding, a 12-month window might feel like plenty of time. But for a destination wedding—where your guests need to request time off work, budget for travel, renew passports, and secure resort stays—timing is everything.


As the founder and lead travel advisor at Journeys by Jacqy, I recommend that couples start planning their destination wedding 12 to 18 months in advance.


Starting early isn't just about reducing stress; it's the secret to locking in popular weekend dates at premier resorts, securing competitive group room rates, and giving your loved ones time to budget.


To keep your planning smooth and seamless, here is my ultimate month-by-month timeline and checklist.



12 to 18 Months Out: Foundation & Resort Selection

This is the most critical phase of the journey. Setting the right foundation early protects your budget and prevents last-minute headaches.


  • Establish Your Estimated Guest List: You don't need a final head count yet, but having an estimated number (e.g., 30 vs. 100 guests) determines which resort venues can comfortably accommodate your group.

  • Lock in Your Date & Secure Your Group Room Block: I will contract a dedicated room block at the resort to secure held inventory, lock in special pricing, and qualify you for exclusive group perks.



10 to 12 Months Out: Guest Launch & Save-the-Dates

Now that your date, resort, and room rates are locked in, it’s time to share the exciting news with your family and friends!

  • Send Save-the-Dates: Send out digital or physical Save-the-Dates that direct guests straight to your custom booking website.

  • Encourage Early Guest Booking: Giving your guests 10+ months allows them to take advantage of flexible installment payment plans rather than paying for their trip all at once.

  • Remind Guests About Passports: Remind your guests to check their passport expiration dates. Many countries require passports to be valid for at least 6 months beyond the travel dates!



6 to 9 Months Out: Wedding Details & Excursions

With your travel foundation in place, the fun design and event details begin!


  • Connect with the On-Site Resort Wedding Coordinator: I connect you with your assigned resort wedding coordinator to review venue options, floral concepts, music, and cake flavors.

  • Select Outside Vendors (If Needed): If you plan to hire an outside photographer, videographer, or hair/makeup artist, book them now and review any resort vendor access fees.

  • Plan Group Activities & Welcome Events: Decide if you want to host a welcome cocktail hour, a rehearsal dinner, or a private group catamaran excursion for your guests.

  • Purchase Your Wedding Attire: Order your dress, suit, or attire, keeping in mind tropical fabrics (like linen, lightweight silk, or chiffon) that travel well.



3 to 5 Months Out: Finalizing Bookings & RSVPs

At this mark, guest travel arrangements are coming together, allowing us to lock in final numbers.


  • Room Block RSVP Deadline: Your guests hit the final payment/booking deadline for the guaranteed group block rates.

  • Send Formal Invitations (Optional): Since Save-the-Dates do heavy lifting for destination weddings, formal invitations at this stage simply confirm final schedule details and RSVP choices.

  • Finalize Ceremony & Reception Details: Confirm playlist choices, menu selections, seating arrangements, and decor setups with the resort coordinator.



1 to 2 Months Out: Final Logistics & Preparation

You are officially in the home stretch!

  • Confirm Flight Details & Transfers: I review all guest arrival times to ensure smooth, pre-arranged airport transfers to the resort.

  • Prepare Welcome Bags or Favors: Assemble small welcome items (like personalized luggage tags, sunscreens, or hangover kits) for your guests upon check-in.

  • Finalize Payments: Clear remaining balances with the resort and any outside vendors.



1 Week Before / Arrival Week: Relaxation & Vows

It's time to step onto the plane and enjoy the experience!


  • Arrive at the Resort Early: Couples usually arrive 2 to 3 days before their guests (or 3 to 4 business days early if hosting a legal ceremony) to meet the wedding team, do a walkthrough of the venues, and relax.

  • Welcome Your Guests: Host a relaxed welcome drink or sunset gathering as your loved ones arrive.

  • Say "I Do": Step onto the beach, exchange your vows, and celebrate surrounded by the people who matter most!



Can You Plan a Destination Wedding in Under 12 Months?

Yes! If you have a shorter timeline (6 to 9 months), a destination wedding is still completely possible. However, venue availability at top-tier resorts may be limited, and guest booking windows will be tighter.
